Flat Monthly Fee

A fixed monthly price regardless of portfolio size. Common for smaller platforms targeting landlords and small agencies.

Flat fee models are predictable and easy to budget. The risk is paying for unused capacity if the portfolio is smaller than the plan minimum, or hitting a ceiling if the portfolio grows faster than expected.

Per Unit Per Month

Solo Landlord (1-10 properties)

Free options: TurboTenant. Genuinely free for US landlords. Tenant pays screening fees.

Budget paid options: Rentec Direct from $45/month, DoorLoop from $59/month.

What to avoid: Buildium ($124.99/month) and AppFolio ($250/month minimum) are disproportionately expensive at this scale.

Realistic monthly budget: $0-$60/month.


Small Portfolio (11-50 properties)

Budget options: Rentec Direct $55-$120/month, DoorLoop $59-$119/month.

Mid-market options: Buildium $124.99/month, Rent Manager $50-$150/month.

What to avoid: AppFolio $250/month minimum is expensive for this scale unless planning significant growth.

Mid-market options: Buildium $124.99-$174.99/month, AppFolio from $250/month, Rent Manager $150-$500/month.

Realistic monthly budget: $125-$500/month.


Large Agency (200-500 properties)

AppFolio becomes cost-competitive at this scale. Buildium Growth and Premium plans. Yardi Voyager for complex portfolios.

Realistic monthly budget: $500-$2,000/month.


Enterprise (500+ properties)

AppFolio, Yardi Voyager, MRI Software. All quote-based at this scale.

Realistic annual budget: $10,000-$500,000+ depending on complexity and modules.


Hidden Costs to Watch For

Per-Transaction Fees

Some platforms charge per transaction on top of the monthly fee. Common charges include:

  • ACH payment processing fees
  • Credit card payment processing fees
  • Tenant screening fees
  • Electronic signature fees
  • Maintenance request fees

Always ask for a full fee schedule, not just the monthly subscription price.

Implementation and Onboarding Fees

Mid-market and enterprise platforms often charge for implementation, data migration, and initial training. These can range from a few hundred dollars to tens of thousands for enterprise deployments.
